Today I am breaking down the Eisenhower Matrix, and why you might want to consider using one to increase your productivity and to stay on task.
The Eisenhower Matrix is a task management tool that prioritizes tasks by urgency and importance.
The Tool divides tasks into four boxes based on what to do first, what to schedule, what to delegate, and what to delete.
Deeper Dive: What is the Eisenhower Matrix?
The Eisenhower Matrix serves as a tool for sorting tasks based on their urgency and significance, enabling you to focus on what truly matters.
This concept was inspired by Dwight D. Eisenhower, the 34th President of the United States and a distinguished five-star general during World War II. During a speech in 1954, Eisenhower cited a college president, stating, “I wrestle with two types of issues: the urgent ones and the important ones. The pressing matters often lack real significance, whereas the truly important tasks are seldom urgent.”

Stephen Covey, the mind behind the bestseller “The 7 Habits of Highly Effective People,” expanded on Eisenhower’s principles to create the widely-used Eisenhower Matrix for task management.
Also referred to as the Time Management Matrix, the Eisenhower Box, or the Urgent-Important Matrix, this instrument helps you classify your tasks into four key groups: those to tackle immediately, those to plan for later, those to delegate, and those to eliminate altogether.
Understanding the Difference Between Urgent and Important Tasks
Though the terms ‘urgent’ and ‘important’ are often used interchangeably, understanding their distinct meanings is key, especially within the framework of the Eisenhower Matrix. Knowing how to categorize tasks as either urgent or important can help you prioritize more effectively and delegate work when necessary.
Tasks classified as urgent demand immediate action and come with tangible consequences if not completed within a strict timeframe. They’re unavoidable duties that become increasingly stressful the more they’re postponed, potentially leading to fatigue or burnout.
Some examples of urgent tasks are:

- Responding to an immediate client issue
- Addressing a home emergency, like a leaking pipe
On the other hand, important tasks contribute to your long-term objectives but aren’t time-sensitive. Though they may lack the pressing nature of urgent tasks, their significance shouldn’t be underestimated. Effective planning and resource allocation are crucial for handling these tasks well.
For instance, important tasks could involve:
- Strategizing for a future project
- Building a network of contacts for business growth
- Regular upkeep and home maintenance tasks
By recognizing the distinctions between urgent and important tasks, you’re better equipped to allocate them into the appropriate categories of the Eisenhower Matrix. This allows for more informed decision-making and efficient use of time and resources.
The four quadrants of the Eisenhower Matrix…
For all you mompreneurs balancing the demands of family and work, staring down a lengthy to-do list can feel like one more thing you just don’t have time for. However, the Eisenhower Matrix aims to simplify this process. By breaking down your tasks and categorizing them into specific quadrants, you gain a clearer perspective on what truly needs your immediate attention versus what can wait. This way, you can allocate your precious time more effectively, focusing on what’s genuinely important for both your family and your business.
Quadrant 1: Do
For mompreneurs like you, Quadrant 1 is your “Action Zone.” Here, you’ll slot in tasks that are not just time-sensitive but are also crucial for your long-term objectives—both in business and family life. When you scan your to-do list and come across tasks that are screaming “now” and carry clear consequences for not completing them, these go straight into this quadrant.
You’ll instinctively know which tasks belong here because they’re the ones weighing most heavily on your mind and probably contributing to your stress levels. Prioritizing these tasks will relieve that immediate tension and help you stay on course for your larger goals.
Quadrant 2: Schedule
For busy mompreneurs like you, Quadrant 2 is your “Planning Pad.” This is where you’ll list tasks that are vital for your future success and well-being but don’t need immediate action. They’re not time-sensitive but are essential for your long-term business objectives and family happiness, so these tasks can be scheduled for a later date.
After handling the immediate demands in your “Action Zone” (Quadrant 1), you’ll move on to these important but not urgent tasks. To make the most out of this quadrant, consider leveraging time management techniques that fit seamlessly into your busy life as both an entrepreneur and a mom.
Quadrant 3: Delegate
For the multi-tasking mompreneur, Quadrant 3 is your “Outsource Oasis.” Here, you’ll categorize tasks that are pressing but don’t directly contribute to your long-term business or family objectives. These tasks need attention right away, but not necessarily your attention.
Since these tasks don’t align closely with your unique skills or passions, it’s the perfect opportunity to delegate. Assign them to your team or even your older kids as appropriate chores. Delegating is not only an effective way to lighten your load, but it’s also an excellent method to empower your team or family members by helping them broaden their abilities.
Quadrant 4: Delete
As a busy woman, after sifting through your to-do list and slotting tasks into the first three quadrants, you’ll probably find a few odds and ends remaining. These are the tasks that are neither urgent nor important; consider them the fluff in your busy life.
This “fluff” goes into Quadrant 4, which you could call your “Let It Go” zone. These are the tasks that, upon reflection, don’t serve your family goals or your business ambitions. They’re essentially cluttering your path to success, so feel free to either discard them or revisit them at a time when they make sense for you.
Six Tips for Mompreneurs: Prioritize Your Tasks Like a Pro
Navigating the daily whirlwind of both entrepreneurship and motherhood can be chaotic. The Eisenhower Matrix is your tool for bringing order to the chaos, but mastering the art of prioritization can still be challenging. Here are six practical tips to help you sort and conquer your daily tasks within each quadrant of the matrix.
- Color-Code for Clarity
Dive into your to-do list with a bit of color. Assign a color for each priority level as follows:
- Green = Top Priority (Quadrant 1 “Do”)
- Yellow = Important but Not Urgent (Quadrant 2 “Schedule”)
- Blue = Delegate (Quadrant 3 “Delegate”)
- Red = Not a Priority (Quadrant 4 “Delete/Let It Go”)
This way, you’ll instantly know where each task belongs in your Eisenhower Matrix. It’s an intuitive and visual way to keep your tasks sorted.
- Cap it at 10
While juggling kids and a business can generate endless tasks, try to limit each quadrant to 10 items. Any more can become overwhelming. If you have more than 40 tasks, create additional matrices, but aim to keep each one manageable. This approach helps you focus on the most impactful activities. - Separate Your Worlds
Create two separate Eisenhower Matrices, one for your household tasks and one for your business. The timelines, resources, and thought processes required for personal and professional tasks often differ, so keep them separate for more effective management. - Start by Cutting the Fluff
Begin by tackling Quadrant 4, the “Let It Go” zone. Eliminate the tasks that don’t align with your goals, whether it’s business or family. Clearing these off first will make it easier to focus on the other quadrants. - Use Time Blocks
Allocate specific blocks of time to tackle Quadrant 1 and Quadrant 2 tasks. Knowing you have dedicated time slots for these critical tasks will make it easier to leave Quadrant 3 tasks for delegation, and to confidently eliminate Quadrant 4 tasks that are not serving you. - Prioritize Self-Care
Remember, for a mompreneur, self-care isn’t a luxury; it’s a necessity. Slot in ‘me-time’ in your Eisenhower Matrix. It might sound counterintuitive when you’re pressed for time, but taking care of yourself will recharge you and make you more productive in the long run.
